Thought Industries helped migrate external data without downtime

Exterro is a leading software provider of data risk management solutions. Faced with a Learning Management System (LMS) that was discontinuing its services, Exterro needed a new learning solution that could deliver on three promises:

Secure setup quickly

As the deadline for moving from its legacy learning management system (LMS) to Thought Industries approached, Exterro faced the daunting task of launching its new site within 90 days. To make matters even more difficult, Exterro businesses have unique data security and uptime needs.

“The Exterro platform is extremely robust, extremely reliable, and is something our customers use minute to minute,” said Sarah Hargreaves, vice president of global training at Exterro. “We couldn’t disrupt any single student’s learning, put them on pause as we went through the migration journey. This was critical to us. We didn’t want any interruption at all.”

The Exterro team needed to know that Thought Industries would take their onboarding process as seriously as Exterro takes its customers. Data risk management isn’t just something Exterro offers its clients. It is a requirement in everything they do. And with the types of clients they have, there needs to be complete confidence in their uptime and data security management.

After careful planning and attention to detail during the preparation process, the team achieved their goal of going live within 90 days. According to Ms. Hargevis, “The onboarding process definitely met our expectations. It was a really great and supportive experience.”

The importance of change management

Migrating 5,000 learners with critical runtime requirements can be a daunting task. But the Exterro team found a partner in Thought Industries, who was willing to step in and make sure expectations were met at every stage of the onboarding process.

“We had a large number of learners… and moving anything of this size, it will take some planning,” Ms Hargreaves said. “Things can move very quickly with so many SaaS-based solutions to support…there are a lot of moving parts for a lot of people. These considerations were baked into how we wanted to manage this project.”

With such a large number of learners and sensitive data to consider, change management was top of mind for both teams. “To embark on a significant migration journey and move to a new platform with a great user experience and interface, we needed to ensure that everyone involved was confident that nothing would go wrong,” Ms Hargreaves said.

At the beginning of the project, the Exterro team was nervous, as they wanted to make sure that the project would be implemented as expected. They did significant planning and conducted regular reviews as they progressed with the project. At each step, stop to consider how the process is going. They conducted impact analysis as they went, constantly thinking about the different scenarios they were presented with.

The Thought Industries Project Manager assigned to Exterro invested time understanding their needs and listening to ideas and concerns about the impact of the project on the learners and their businesses. In the process, the relationship became built on trust.
